Privacy Policy

Updated 22 August 2026

This policy explains what Online Calendar collects, why we collect it, and the choices you have. It applies to this website only.

The site is operated from the United Kingdom. For privacy questions use the contact form.

What we collect

Most people use the calendars without creating an account. We only store personal data when you choose to send it, or when a cookie you have allowed records a visit.

  • Contact messages — name, email address, subject, message, and the time you sent it.
  • Newsletter — email address, subscription status, and confirmation tokens until you confirm or unsubscribe.
  • Administrator accounts — name, email, hashed password, optional two-factor secret, and login timestamps. Passwords are hashed and cannot be read back.
  • Analytics (optional) — page path, approximate device and browser, referrer host, and a hashed visitor identifier. We do not store a full IP address. Analytics cookies run only after you opt in, if that setting is enabled.

What we do not collect

We do not require registration to view, print or download calendars. Personal notes you type before printing stay in your browser unless you include them in a PDF you download. Those notes are not sent to our servers or to analytics.

Why we use the data

  • To reply to messages and keep a record of support requests.
  • To send the newsletter you asked for, using double opt-in.
  • To keep administrator accounts secure.
  • To understand which calendar pages are useful, if you allow analytics.

We do not sell your personal data. We do not use it for automated decisions that have a legal effect on you.

Legal basis (UK GDPR)

  • Consent — newsletter, optional analytics, advertising or functional cookies.
  • Legitimate interests — answering contact messages, keeping the site secure, and essential cookies needed to run forms.
  • Contract / legitimate interests — administrator accounts for people who operate the site.

Cookies

Essential cookies keep you signed in to admin pages, protect forms against forgery, and remember your cookie choice. Optional cookies are off until you accept them. Details are on the cookie policy. You can change your mind at any time from Cookie settings in the footer.

How long we keep data

  • Contact messages stay until we have dealt with them, then we delete or anonymise them on request.
  • Newsletter records stay until you unsubscribe, then the address may be held on a suppression list so we do not email you again by mistake.
  • Analytics follow the retention period set in administration (default 365 days).
  • Server logs used for security are kept only as long as needed to investigate abuse.

Who we share data with

We do not share contact or newsletter data with advertisers. If we send email through a mail provider, that provider processes the address only to deliver the message. Hosting and backup providers may store the database under contract. Third-party advertising tags, if ever enabled, load only after advertising consent.

Your rights

You can ask us for a copy of the data we hold about you, ask us to correct it, delete it, or restrict how we use it. You can withdraw consent for the newsletter or optional cookies at any time. To do that, use the contact form or the unsubscribe link in any newsletter.

You can complain to the Information Commissioner’s Office at ico.org.uk.

Children

The site is a general calendar for all ages. We do not knowingly collect personal data from children for marketing. Do not use the contact form or newsletter on behalf of a child under 13 without a parent or guardian.
